Beanstalk connects you with the leaders who matter. Our three networking programs make it happen: Meetup, Power Lunches, and Core Experiences.

Meetup

1:1 Executive Meetings

Meetup powers 10,000+ 1:1 executive meetings across the event. Schedule up to 19 meetings, 12 minutes each, all double opt-in, so every conversation counts.

How it works

  • Complete your profile, request meetings, opt in to requests, and accept meetings. All done in short stages over the 3 weeks before Beanstalk.
  • Meetings are scheduled on mutual interest and availability. Double opt-in, always.
  • Every meeting is confirmed and in your calendar before you arrive.

Power Lunches

Curated Peer-Led Roundtable Discussions

Power Lunches bring together carefully curated groups of up to 10 senior executives to learn from each other and to build real connections over lunch.

How it works

  • Review your Power Lunch assignment between Sep 1–4. If you can't make it, click reject.
  • Once scheduling is complete, you'll receive a calendar invite on September 11.

Core Experiences

Experiences Created for Real Relationship-Building

Core Experiences bring together Beanstalk attendees for dinners, boardroom discussions, and interesting activities designed to make relationship-building feel natural. Experience types include:

All attendees
  • Welcome Receptions & Private Dinners — Breaking bread is one of the best ways to get to know each other. We do this in thoughtfully curated ways.
  • Boardroom Discussions — Thoughtfully curated groups of 15–25 with interesting people. Engage in interesting business discussions and meet great people.
  • Productive Playtime — Structured activities designed to make connection feel easy. Designed with introverts in mind.
Brands & Investors only
  • Store Tours — Guided tours of some of NYC's most interesting retail stores.
  • Workouts — Meet great people over a workout hosted by Barry's Bootcamp, [solidcore], SoulCycle, and others.

How it works

  • Review your Core Experiences by August 27.
  • Opt in to any Store Tours or Workouts you'd like to attend, and opt out of any Welcome Receptions, Dinners, Boardroom Discussions, or Productive Playtimes that don't work for you (you are automatically signed up for these and the Beanstalk team will assign you to the appropriate groups and discussions).
  • Once scheduling is complete, you'll receive calendar invites for all your Experiences on September 11.

Assign Meetings Reps

If your organization has purchased Hosted Meetings, assign your Meetings Representatives before Aug 5. These are the people who will take the meetings your organization has purchased.

  • Individuals must be registered to attend Beanstalk before they can be assigned.
  • We recommend 1 Meetings Rep per 10 Hosted Meetings. If you've purchased 30, assign at least 3. There's no cap on how many Reps you can have.
  • Meetings Reps will complete their profile from Aug 5 – Aug 20.
Aug 5 – Aug 20
Complete your Profile & Select/Update Core Experiences
10–15 min · Desktop & Beanstalk mobile app

Your profile is how other attendees decide if they want to meet you. Complete it by Thu, Aug 20 at 9 pm ET / 6 pm PT. All profiles go live at the same time.

  • Tell us about yourself and what you're looking to get from Beanstalk.
  • Set your availability. The more time slots you open, the more meetings we can schedule for you. You can update availability any time until Wed, Sep 2 at 9 pm ET / 6 pm PT.
  • Add your Calendly link so people can book follow-ups directly after the event.
  • Upload your organization's logo.
  • Consider making an Announcement. Tell the community about new products, partnerships, funding, or anything worth sharing.
  • AI Target-Finder is a powerful tool that pinpoints the Beanstalk attendees you should meet. A live engine, it learns from tens of thousands of past Meetup selections and adapts to the current event's emerging trends and your own meeting requests in real time. The more detailed your profile, the easier it will be for the right people to find you using the AI Target-Finder.
  • If you're a Hosted Brand, you must be available for at least 14 time slots.
  • Org Admins can complete profiles on behalf of participants in their organization.

Select Core Experiences

Starting Wed, Aug 5, select and update your Core Experiences through Thu, Aug 27 at 9 pm ET / 6 pm PT.

  • Boardroom Discussions, Welcome Receptions, Private Dinners, and Productive Playtime are at the heart of the Beanstalk experience. We'll thoughtfully assign you to interesting groups and discussions. Can't make one for whatever reason? Opt out-in the platform by Aug 27.
  • Store Tours and Workouts (Brands & Investors only) are opt-in. Select every one you'd like to attend.
Registration deadline: To join our networking programs, you must register by Thu, Aug 27 at 9 pm ET / 6 pm PT.
Aug 21 – Aug 27
Request Meetings

Review attendee profiles and request meetings with everyone you'd like to meet. Complete your requests by Thu, Aug 27 at 9 pm ET / 6 pm PT.

  • Select everyone you want to meet. At minimum, make requests equal to at least 4x the number of time slots you're available for (e.g., available for 10 time slots → make 40+ requests).
  • You can request multiple people from the same organization. Meetings with the same org are only scheduled once all unique org meetings are placed.
  • Indicate your interest level. Very Interested requests are scheduled before Interested ones.
  • Org Admins can request meetings on behalf of participants in their organization.

AI Target-Finder

AI Target-Finder is a powerful tool that pinpoints the Beanstalk attendees you should meet — helping connect you with the right people faster.

  • A live engine, it learns from tens of thousands of past Meetup selections and adapts to the current event's emerging trends and your own meeting requests in real time.
  • When you access the Request Meetings screen, you'll land directly in the AI Target-Finder view, showcasing your most relevant targets.

If you're a Meetings Rep

  • Make Hosted Meeting requests equal to at least 4x your organization's purchased Hosted Meetings. If your organization has purchased 10, you should send requests to at least 40 Hosted Brands.
  • You can also send Non-Hosted Meeting requests to anyone else you'd like to meet at Beanstalk. We highly encourage you to do this. For example, this could be with other CEOs/executives, investors, peers, etc.
Aug 28 – Sep 2
Opt in to Meeting Requests

Review meeting requests you've received from people you didn't previously select. Opt in to anyone you'd spend 12 minutes with. Deadline: Wed, Sep 2 at 9 pm ET / 6 pm PT.

  • Opt in to every request from someone you'd want to meet. We only schedule meetings based on requests you've opted in to, and your outgoing requests that others have opted in to. The more you opt in, the more meetings you're likely to get.
  • Org Admins can opt in on behalf of participants in their organization.

If you're a Hosted Brand

  • You must opt in to Hosted Meeting requests from at least 12 organizations. If you receive fewer than 12, opt in to all of them. Note: we schedule a maximum of 4 Hosted Meetings per brand.
  • Hosted Meeting requests appear at the top of your screen when you log in.
  • You should also opt in to any Non-Hosted Meeting requests you receive from participants you would like to meet. Non-Hosted meetings could be with other brand leaders, investors, influencers, media, etc.

If you're a Meetings Rep

  • Opt-ins to requests from Hosted Brands will default to Hosted Meeting requests.
Availability deadline: You can update your available time slots until Wed, Sep 2 at 9 pm ET / 6 pm PT.

Review your Power Lunch

Accept your Meetings

On Thu, Sep 3 at 9 am ET / 6 am PT you'll receive an email to view and accept your scheduled meetings. Accept all meetings by Wed, Sep 9 at 9 pm ET / 6 pm PT.

  • Accept all meetings. You get meetings with people you selected who also selected you. Not accepting might disappoint others.
  • Any meeting not accepted by the deadline will not be scheduled.
  • You must accept your own meetings. Org Admins cannot accept on your behalf.

If you're a Hosted Brand

  • You must accept all of your Hosted Meetings (maximum of 4). You will not be penalized if the other participant does not accept.
  • You should also accept all of your Non-Hosted Meetings. Remember, these are with people like other brand founders/leaders, investors, influencers, media, etc.

If you're a Meetings Rep

  • You must accept all of your Hosted Meetings. Hosted Meetings that are not accepted will not be refunded to your organization.
Sep 10
Accept Backfilled Meetings

If you have backfilled meetings, you'll receive an email on Thu, Sep 10 at 9 am ET / 6 am PT. Accept all meetings the same day by 9 pm ET / 6 pm PT.

  • Backfilled meetings are either replacements for meetings not accepted by the other participant, or new meetings from your previous selections where others have become available.
Sep 11
Accept your Calendar Invites

On Fri, Sep 11 at 9 am ET / 6 am PT you'll receive calendar invites for all your scheduled Meetings, Power Lunches, and Core Experiences. Accept all invites the same day by 9 pm ET / 6 pm PT.

  • Do not decline a calendar invite — the person you're meeting will be left hanging :( If you genuinely can't make a meeting, email jack@beanstalkevents.com instead.
  • We can't reschedule meeting times.
  • If you can't attend a Core Experience, cancel on the Beanstalk platform 🙏

Attend your Meetings, Power Lunches & Core Experiences

Meetup Meetings

  • All meetings are in the dedicated Meetup area. Check the Beanstalk mobile app or your calendar invites for your table number.
  • Arrive 5–10 minutes before your first meeting. No check-in required.
  • Each meeting is 12 minutes. Your table number changes for each meeting, with a 3-minute transition between them.
  • If someone hasn't shown after 5 minutes, tap Mark as No Show in the Beanstalk mobile app.
  • You can take notes and request follow-ups directly in the app.

Power Lunches

  • Power Lunches take place 12:15–1:05 pm ET on Tue, Sep 15. You will be assigned a room and table for Power Lunches. Lunch is provided.
  • Check the Beanstalk mobile app or your calendar invite for your table number.

Core Experiences

  • Attend all your scheduled Experiences. Scheduling is optimized across all attendees, so no-shows affect others.
Sep 17 – Sep 25
Provide Feedback

On Fri, Sep 17 you'll receive an email to share feedback on your Meetings, Power Lunches, and Core Experiences. Please take 5 minutes to share your thoughts. Your feedback directly shapes how we improve Beanstalk. Deadline: Fri, Sep 25.

  • Once you submit feedback, you can download your Post-Event Summary, including your meeting notes and the contact details of everyone you met.

Some fine print — Our participant list is confidential, and shouldn't be (1) shared with anyone else, (2) downloaded or (3) used other than as described by us. Based on information you receive as part of Meetup you can't solicit participants (including individuals you're scheduled to meet prior to your meetings) outside of the event other than as we permit. If you breach this provision, you may be eliminated from further participation and barred from future programs. Do not assume that requests (or opt-ins) to meet with you as part of Meetup indicate any interest in meeting with you outside of Meetup.

Completing Org Admin tasks

To help complete action items for participants and your organization, you'll need to use your desktop (the Beanstalk mobile app does not support Org Admin activities). If you're a participant just completing action items for yourself, you can use the Beanstalk mobile app.

'Manage Participants & Roles' screen

From this screen you can:

  • Select who you want to manage: Go to 'Manage Participants & Roles' and select the participants from your organization that you want to 'Manage As Org Admin'. You can then help complete action items on their behalf.
  • Add or assign Org Admins: Click 'Add New Org Admin' to add unregistered individuals as Org Admins, or click 'Assign' to assign existing participants as Org Admins.

Managing different types of participants

Your organization may have individuals participating in Meetup who have different roles, for example (1) Hosted Brands, (2) Meetings Reps (if your organization has purchased Hosted Meetings), or (3) General participants. As an Org Admin, you can help complete action items for any individuals from your organization, irrespective of their role. Please review these guidelines to understand the required action items at each stage.

Request Meetings stage

  • Manage Participants: To manage meeting requests for a participant, find them in your list of managed participants and click their link. Their meeting request screen will open in a new tab.
  • Participant view: When you open a participant's link, you'll see exactly what they would see if they logged in directly. Make selections on their behalf from this view.
  • Multiple participants: You can manage multiple participants simultaneously by opening each in a separate tab.

Collaboration & efficiency tools

Just like regular participants, Org Admins can use the full range of collaboration and time-saving features:

  • Bookmarks: If you're not sure you want to request to meet someone (for the participants you're requesting meetings for, or yourself if you're a participant), simply Bookmark them and decide later (they'll be under 'Bookmarks').
  • Saved Lists: Click 'Save List' to name and save a specific search/filter result so you can come back to it later (it'll be under 'My Lists').
  • Share Saved Lists (Meetings Reps): If you're a Meetings Rep and an Org Admin, you can share your saved lists with all Meetings Reps from your organization by toggling the slider when you are saving or editing the list. They'll automatically get any changes you make.
  • Lists Shared With Me (Meetings Reps): If you're a Meetings Rep and an Org Admin, if Meetings Reps from your organization have shared their lists, they'll be under 'Lists Shared With Me'.
  • Share Participants' Requests: You can share the meeting requests of the Meetings Reps you're requesting meetings for from the 'Manage Participants' meeting requests screen. If you're a Meetings Rep, you can share your own meeting requests from there as well. Note that meeting requests can only be shared with other Meetings Reps.

Click the tooltip at the top of the screen to track the progress of participants you're helping manage against their recommended minimum number of meeting requests.

Accept Meetings onwards

From the Accept Your Meetings stage onwards, you may view the ongoing progress and status of the participants you want to manage, including:

  • View if participants have accepted their meetings
  • View if participants have accepted any additional meetings
  • View participants' scheduled meetings
  • View if participants have provided feedback
